Creating Announcements

An Automated Attendant Announcement is the information you record for a caller
to hear. Once you create the Announcement, you can associate it with an Automated Attendant Main Menu or Submenu.
• Up to 99 Announcements can be recorded.
• Announcements can be up to four minutes in length (prior to Release 7.0, up to two minutes in length).
• The same Announcement can be used for more than one Main Menu or Submenu, and with more than one Automated Attendant.
• The factory-setting is “Announcement [nn] does not exist.”

Creating Announcements

1 Log in to System Administration. 777

2 Select Automated Attendant. 3
3 Enter Automated Attendant number. [1– 4]
4 Select Announcements. 4
5 Enter Announcement number. [1– 99] #
6 If you want to listen to or modify an existing Announcement, go to Step 7. If you want to create a new Announcement, choose one of the following:  
  • Create Announcement. 9 or
  • Cancel. Return to Step 5. 6
7 Choose one of the following:  
  • Listen to Announcement. If in Bilingual Mode, after pressing 2, go to Step 8. 2 or
  • Modify Announcement. Go to Step 9. 6 or
  • Delete Announcement. *3
  – Confirm deletion. 9 or
  – Cancel deletion. 6
  • If finished. Return to Step 5. * #
8 Choose one of the following:  
  • Listen to Announcement in Primary Language. 1
  • Listen to Announcement in Secondary Language. 2
  • If finished. Return to Step 7. *#
9 If system is in Bilingual Mode, go to Step 10. If system is in Monolingual Mode, choose one of the following:  
  • Record new Announcement; then after recording, press 1 and choose one of the following: 1 [record new prompt] 1
  – Approve. Procedure is finished. *# or
  – Listen to Announcement. Then approve, listen, re-record, or delete. (2)(3) or
  – Re-record Announcement. Repeat Step 9. (2)(1) or
  – Delete recording. Repeat Step 9. *3
  • Use existing Announcement. Procedure is finished. #
10 If system is in Bilingual Mode, choose one of
the following:
 
  • Record Primary Language. 1 or
  • Record Secondary Language. 2 or
  • Save any recording changes. Return to Step 5. #
11 Record new Announcement; then after recording, press 1 and choose one of the following: [record new prompt] 1
  • Approve. Return to Step 10. *# or
  • Listen to Announcement. (2)(3) or
  • Re-record Announcement. (2)(1) or
  • Delete recording. Return to Step 10. *3
